Purpose of the Role
The Logistics Coordinator will be responsible for planning and coordinating vehicle movement, ensuring timely availability of trucks, monitoring dispatch schedules, tracking shipments, managing transporter relationships, and achieving high service levels while controlling logistics costs.
Key Responsibilities
Transportation & Dispatch Management
Coordinate daily vehicle placement and ensure timely availability of trucks for dispatches.
Plan and schedule shipments based on delivery commitments and business requirements.
Monitor loading, dispatch, transit, and unloading activities to ensure smooth operations.
Ensure timely movement of goods from warehouse/plant to distributors, dealers, projects, and customers.
Track vehicles in transit and proactively resolve transportation delays.
Transporter Management
Develop and maintain strong relationships with transporters and fleet operators.
Negotiate freight rates and optimize transportation costs.
Evaluate transporter performance based on service levels, turnaround time, and vehicle availability.
Ensure adequate fleet availability during peak business periods.
Shipment Tracking & Customer Service
Monitor shipment status and provide regular updates to internal stakeholders.
Coordinate with sales, warehouse, customer service, and supply chain teams regarding dispatch schedules.
Address customer concerns related to delivery timelines and transportation issues.
Ensure adherence to committed delivery schedules and service standards.
Documentation & Compliance
Ensure accuracy of transport-related documents such as E-way Bills, LR copies, invoices, PODs, and permits.
Maintain transportation records and MIS reports.
Ensure compliance with statutory, safety, and company transportation policies.
Monitor vehicle documentation and transporter compliance requirements.
Cost Control & Process Improvement
Analyze freight expenses and identify opportunities for cost optimization.
Monitor vehicle utilization and reduce empty-run costs.
Improve truck turnaround time and loading efficiency.
Implement logistics best practices to enhance operational efficiency.
Reporting & MIS
Prepare daily, weekly, and monthly logistics performance reports.
Track key logistics KPIs including:
On-Time Dispatch (OTD)
On-Time Delivery (OTIF)
Freight Cost per Ton
Vehicle Utilization
Transit Damage Claims
Truck Turnaround Time
Dispatch Accuracy
